Poste :

- Advice and support to Project Team
- Provide support and oversight in project governance & organization:
- Sourcing process:
? New position/Replacement/Renewal
? Process end-to-end monitoring
? Coordinating & synchronizing with stakeholders
? On/Off-boarding process follow-up:
? Onboarding (request for equipment, badge and account creation)
? Offboarding (request for disabling account and retrieval of equipment)
- Time Tracking:
o Providing support to PM to create tasks & affecting resources for TT
o Make sure that internal/external consultants submit their TimeSheet (MSP)
o Send regular reminders to resources to time track
o Monitor the quality of time-tracking
- Communication Management
o Enable communications with all stakeholders across the team and projects
o Share knowledge, deliverables, and lessons learned with other project coordinators and PM
- Procurement / Purchase To Pay Management
o Follow-up on Purchase Order workflow (creation, validation, delivery reception, cancellation…)
o Coordination with Finance or PPOP team
o Feedback to providers on PO and invoicing / conflict management
- Budget & Financial management
o Lead the Financial forecasts: elaboration, updates, follow-up in relationship with Finance (controlling) team
o Follow-up the budget consumption (actuals vs planned, Gap analysis)
o Report Budget consolidation (MD & k€)
o Maintain relationship with IT Projects and BAU and Finance teams
o Help to manage the Year closing landing
- Order To Cash
o Contracts / SOW management (Creation, follow-up, collect signature and PO from client)
o Attend to the weekly OTC Operational governance
- BP Projects Portfolio
o Organize the monthly reviews with Projects Managers to update the KPI

 

Profil recherché :

• Must Have Skills
o Understanding of IT Project management methodology (governance, key elements, communication…)
o Good sense of organization (attention to details, multitasking, organize topics…)
o Capability for cross collaboration with worldwide teams and providers
o Capability to deal with uncertainties and find ways to solve problems
o Efficient communication and fluency in French and English

• Additional Skills
o Open mindset
o Interdisciplinary skills (Finance, IT-Technology, IT-Service / Products)
o Mindset focussing continuous improvement and standardisation
o Well versed using MS Office suite (Peoplesoft and Anaplan are a bonus)

C. Educational Level, Certifications:
• Bachelor or master’s degree in Project Management or equivalent
• Project Management or Financial Certification is a plus

D. Work Experience

• 3 to 5 years of proven track record in Project Management Officer role or similar supporting significant program(s), strategic project(s), or large portfolio(s)
• Drive or assist context(s) involving multiple worldwide teams and various stakeholders
• Experience handling purchase orders, service agreements, sourcing matters is a plus
• Financial background or work experience is a plus
