Poste proposé : Office Manager

Missions :

  • The Office Manager is in charge of organizing and coordinating office administration and procedures, to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control.
  • Organizing meetings, appointments & bookings, and manage databases.
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and supply requisitions are reviewed and approved.
  • Organizing or participating actively in planning of company events or conferences
  • Ordering stationery and furniture
  • Dealing with correspondence, complaints, and queries
  • Preparing letters, presentations, and reports
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
  • Liaising with staff, suppliers, and clients, and managing contract and price negotiations
  • Implementing and maintaining procedures/office administrative systems
  • Establishing and monitoring procedures for record keeping
  • Overseeing adherence to office policies and procedures
  • Monitoring and maintaining office supplies inventory
  • Providing general support to visitors
  • Ensuring security, integrity, and confidentiality of data
  • Maintaining a safe and secure working environment
  • Organizing and coordinating Manager trips to the various subsidiaries
Profil recherché pour le poste : Office Manager
  • College degree in Management and administration any related field.
  • Experience in an office management, administrative or assistant role.
  • Knowledge of software packages.
  • Excellent written and verbal communication skills in French and English.
  • Strong organizational and planning skills.
  • 2 to 4 years of proven office management, administrative or assistant experience.
  • Ideal background experience in Telecom and/or Energy and/or ICT sector.
  • Knowledge of office management responsibilities, systems, and procedures.
  • Knowledge of accounting, data and administrative management practices and procedures.
  • Knowledge of clerical practices and procedures.
  • Knowledge of human resources management practices and procedures.
  • Knowledge of business and management principles.
  • Computer skills and knowledge of office software packages.
  • Proficient in MS Office.
